Professional Travel Planning Fees  

Hibiscus International Ltd. is a licensed travel company with 48 years of experience developing destination knowledge, supplier relationships and industry knowledge to best serve you.  In our ever-changing world today, travellers appreciate our professional guidance now more than ever.  

We offer a complimentary 20-minute consultation to explore your “what, why, how, when and who” requirements, travel style and budget for your vacation.  After the consultation, if we mutually agree to move forward; we will gather information to set up your file and charge a professional travel planning fee based on the schedule below.  If you’ve made a direct supplier booking, for example with a cruise line or tour operator and want to transfer the work to our agency, we can assist you. 

Cancellations, changes to bookings, and processing refunds, will incur separate charges for service time. 

À LA CARTE PROFESSIONAL FEES:  

Professional Travel Services
Our fees start at $250 + tax for travellers from the same household and/or travelling on the same booking reference.  Included in the Planning fee: consultation, research, booking, supplier communications on your behalf, invoices/documentation, comprehensive itinerary, pre/post travel reviews and assistance in an emergency while travelling.

Professional Travel Services for Complex & Customized Tours  Our white glove service fees range from $300  – $500 + tax for travellers from the same household and/or travelling on the same booking reference. Included in the Planning fee: consultation, research, booking, supplier communications on your behalf, invoices/documentation, comprehensive itinerary, pre/post travel reviews and assistance in an emergency while travelling.

Hibiscus International’s AIR DESK Option:   Let our experts handle your flight bookings for ease and convenience.  A ticketing fee of $50 + tax, per person will apply to the issuance of airline tickets and the re-issuance of tickets when changes are requested. The Hibiscus Air Desk supports travellers 24/7 in the event of an emergency.  This service is operated in cooperation with Total Advantage Travel TICO License #4374724. 

Cancellation/Refund Fees    There will be a fee of $100 + tax per booking charged for cancellations initiated by the client. There is no fee charged to the client if the supplier is forced to make the cancellation.

Travel Insurance  We strongly recommend you protect your travel investment and future financial health by ensuring you are covered for unforeseen emergencies. We would be happy to assist you with selecting the right travel protection to match your needs.  

Groups of 10 – 20 Passengers: Professional Coordination Fees
Requires a minimum flat fee of $2500 + tax depending on the scope of work requested.  Additional travel planning fees are applied to groups of more than 21 passengers and will be quoted after the scope of work is determined.   

After Hours Fees:  As Travel Executives, we are dedicated to planning travel experiences to meet the needs of our clients.  Our office hours are scheduled Monday through Friday and closed for statutory holidays in Canada.  Service fees may apply for business done outside these hours unless in a travel emergency. 

Additional government taxes may apply. Travel suppliers have separate fees for changing or cancelling a reservation apart from our agency’s fees. PLEASE NOTE:  Our booking, change, cancellation and refund fees are not penalties but reflect the work and time a professional travel advisor does on your behalf.   All Travel Planning Fees are Non-Refundable
